Job Description
Summary
The Pediatrics Infectious Disease department is hiring a Coordinator, Business Operations. This position will provide administrative support for a Pediatric - Infectious Diseases faculty member in the planning and execution of special events e.g. scheduling and arranging travel, on campus room reservations, and meals for visiting professors, Postdoctoral candidates, or graduation celebrations for students. We are looking for a responsible, motivated, and forward-thinking individual with excellent communication skills who has a passion for improving healthcare by strengthening research and career development programs.
This position offers the flexibility of a hybrid work arrangement after 90 days.
Job Duties
- Manages schedules – makes new appointments with students, postdocs, collaborators. Answers doodle polls for meeting requests. Coordinates with the MSTP and other administrative offices for scheduling.
- Manages travel. Submits pre trip approval requests, makes hotel and flight arrangements, submits reimbursements.
- Submits reimbursement requests for research expenditures (e.g. courier service).
- Manages Grants.
- Prepares Pre-award grants and updates salary information on grant budgets; obtains signatures on letters of support and recommendation. Prepares budget justification.
- Manages Post-award grants and submits annual progress reports; checks monthly on spend rate; submits grant close out documents.
- Keeps CV and bio sketches up to date.
- Responds to requests for letters of recommendation—proofread and edits letters of recommendation, puts on letterhead and sends PDF to requester.
- Manages updates to the animal protocol, the institutional biosafety protocol, the hazardous agents and hazardous chemicals protocol and inventory, and human protocol licensure.
- Manages licensing and professional society memberships. Renews annual membership and licensing dues. Maintains licenses on software – e.g. Prism, Papers, Biorender, SnapGene, FloJo.
- Collates and organizes information related to research administration (e.g. pilot awards program, interactions with center for comparative medicine).
- Supports the planning and execution of special events e.g. scheduling and arranging travel, on campus room reservations, and meals for visiting professors, postdoc candidates, or graduation celebrations for students.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Bachelor's degree.
- Grant experience.
- Strong working knowledge of Microsoft Excel.
- Strong written and verbal communication skills.
